OKTOBERFEST KIDS’ STREET RULES AND REGULATIONS
Festival Overview
The annual Lee’s Summit Oktoberfest is a family-friendly festival offering a variety of entertainment for all ages. The event is held on the streets of downtown Lee’s Summit, with Kid's Street booths being on Main Street and a portion of Third Street. Kid's Street hours are 5-9 p.m. Friday, September 22 and 10 a.m.- 9 p.m. Saturday, September 23.
Kids Street Guidelines
- This is a juried application.
- You provide a free game, small prize and/or hands-on activity or craft for children ages 12 and under from an approved list. Please see the provided list for approved activities on the application.
- You may have promotional materials available at your booth, but this is not a commercial booth space. There are to be no sales transactions and/or money collection of any kind, including tips, donation requests, etc.
- Handing out of beverages or food (including candy and water) from your booth is prohibited.
- Booths must be always staffed from 5-9 p.m. Friday, Sept. 22 and 10 a.m.- 9 p.m. Saturday, Sept. 23.
- Under no circumstances may you sell, share, or give your booth space to another exhibitor.
- Exhibitors are not guaranteed the same booth space as previous years.
- You will receive email confirmation of your participation along with a site map in September. Booth spaces will be marked, and Oktoberfest volunteers will be in the Kid's Street area on Friday afternoon to assist you in finding your booth.
- We also ask that you are noise conscious and try to avoid loud activities, that will distract from neighboring booths.
- There is also no smoking on Kid’s Street.
Set-up/Tear Down Information
- To keep the streets open, please unload and move your vehicle prior to setting up your booth. All vehicles must be removed from the streets by 3:00 p.m. Friday.
- Exhibitors must provide their own tent, as well as their own tables, chairs, displays, etc.
- All tents must have weighted tie-downs to prevent them from blowing over. Tying tents or other equipment to the
- trees or buildings is prohibited, and no stakes are allowed in the ground or street.
- Your booth must be placed on the street and may not extend any further than 10’ from the curb. You must keep your booth within the confines of the space purchased, including tie-downs, displays and signage.
- Vehicles are not allowed in the festival grounds on Friday or Saturday evening until the crowds have dispersed, so please plan accordingly. Because other festival activities are still going on, it may be 11 p.m. before you can bring vehicles inside the barricades. If you wish to leave with your items once Kids Street closes at 9 p.m., you may bring a dolly or wagon to transport items. There will not be event personnel to assist in taking items back to your car upon Kid's Street closure.
- All booths must be completely removed following the festival after 11 p.m. Saturday.
- Garbage may be deposited in the event dumpsters located throughout the festival. Please break down any cardboard boxes. Vendor trash may NOT be deposited in private dumpsters or trash cans.
Check-In
All exhibitors must check-in between 11:30 -2:30 p.m. Friday, Sept. 22. Vendors not checked in by 2:30 p.m. Friday will forfeit their space and all fees paid. Details on the location and how to access check-in will be provided prior to the festival.
Electricity
Access to electricity is available at a max of 110 amps per booth. You are required to provide lighting for your booth and for bringing your own 100’ extension cord. Vendors are encouraged to use energy-efficient lights.
Parking
Parking is available in the City Hall parking garage, located at Second and Green streets. Exhibitors are not allowed to park in private parking lots, in front of barricades, or in alleyways.
Security
The festival is not responsible for any damage, theft, fire, loss, or injury of any nature to the exhibitor, employees, goods, property, or any loss to third parties due to exhibitors’ acts of omissions, or any force of nature. While security officers will be roaming the premises overnight, it is suggested that all valuables be removed.
- Prior to the festival, the main communication will be through email by contacting Janet Shelman at jshelman@lschamber.com.
- During the festival, communication will be distributed through a text message to the cell phone number you provided in case of inclement weather or other important information that may be needed throughout the event. It will be your responsibility to check your phone regularly.
- Should you need to speak with a Chamber staff member, please call the office number at 816-524-2424 and a member of our team will be available to assist you.
Cancellations
Cancellations must be made prior to August 31, 2023, at which time a 50% refund will be given. After that date, if festival is sold out and we can fill the space, consideration will be made regarding a refund.
