OKTOBERFEST CRAFT VENDOR RULES & REGULATIONS

Festival Overview

The annual Lee’s Summit Oktoberfest is September 22-23, 2023. Oktoberfest is a family-friendly event offering a variety of entertainment for all ages. Vendors interested in participating in this year’s festival must review and complete the included application.

Festival Hours

Festival hours are 5-11 p.m. Friday, Sept. 22 and 10 a.m.-11 p.m. Saturday, Sept. 23.

Application Information

  • All applications will be reviewed in a timely manner upon submission. All confirmations/denials will be communicated via email once a decision as been made. Booth assignments will be emailed no later than one week prior to the event.
  • Payments will be processed upon receiving applications. If your application is denied, your payment will be returned.
  • All work must be the product of the individual(s) applying for entrance. Commercial products and those made by someone other than exhibitor are not accepted. The sale of fully prepared food, and alcohol is also prohibited.
  • Under no circumstances may you sell, share or give your booth space to another exhibitor. The Oktoberfest Committee reserves the right to assign booth spaces and does not guarantee proximity to or away from competing vendors.
  • Vendors are not guaranteed the same booth space as previous years. If you would like to request a specific location, please make a note on the application and we will try to accommodate.
  • Exhibitors agree to present a quality display and products. All sales must be transacted by vendor.

Vendor Check-in

  • Vendor check-in will take place in two time slots. Vendor time slots are determined according to booth location. Check-in times are 8:30-11:30 a.m. and 11:30 a.m.-2:30 p.m. All check-ins will take place on Friday, September 22 at the corner of 3rd and Douglas streets across from the Lee's Summit Fire Department.
  • You must check in prior to setting up your booth space.
  • Vendors not checked-in by 2 p.m. Friday will forfeit their space and all fees paid.

Set-up/Tear Down Information

  • Each booth must be manned the entire duration of the festival.
  • Booths must be completely set up, with all vehicles removed from the streets, by 3 p.m. Friday, Sept. 22. No booths may be removed before 11 p.m. Friday and Saturday. All booths must be completely removed Saturday evening following the festival after 11 p.m. No parking is allowed in the alleyways. Vehicles will not be allowed inside the festival perimeters for tear down until all festival goers have cleared the space.
  • Exhibitors must provide their own tents, as well as provide their own tables, chairs, display screens, etc. All items, displays, etc. must be contained inside your assigned space. All tents must have weighted tie-downs to prevent tents from blowing over and injuring vendors and guests.
  • Vendors are responsible for taking their own trash (boxes, plastic wrap, etc.) to designated festival dumpsters.

Electricity

  • Access to electricity is included in vendor fee. Exhibitors should bring their own 100-foot, 14-gauge extension cord. If you wish to have lighting you must bring your own lights. Vendors are encouraged to use energy-efficient lights to avoid outages. No generators are allowed.
  • Vendors are not allowed to hook up to private utilities.

Security

  • The festival is not responsible for any damage, theft, fire, loss or injury of any nature to the exhibitor, employees, goods,property, or any loss to third parties due to exhibitors’ acts of omissions, or any force of nature.
  • While security officers will be roaming the premises overnight, it is suggested that all valuables be removed.

Cancellations

  • Cancellations must be made prior to August 1, 2023, at which time a 50% refund will be given. No refunds will be given after August 31, 2023.
  • In the event of a rain out, no refunds will be given.

Other

  • Exhibitors are responsible for collecting state and local sales tax. Tax information may be found at:https://dor.mo.gov/faq/taxation/business/special-event-sales.html
  • All vendors must show respect to other vendors, employees, volunteers, staff and patrons at all times. Those who arrive inebriated, use foul language or act in a confrontational manner will be removed from the festival immediately.

Festival hours are 5-11 p.m. Friday, Sept. 22 and 10 a.m.-11 p.m. Saturday, Sept. 23 amd CARNIVAL ONLY ON SUNDAY.
